Executive Assistant


MHP hiring a full time Executive Assistant who will provide support to CEO, COO and CFO. The Executive Assistant will provide a wide array of administrative, logistical and project-related support. The ideal candidate will be someone who is organized, professional, detail-orientated and has the ability to work in a fast-paced environment. This is a high-visibility role where you will have the opportunity to work with members in leadership positions and provide support that is critical to the company's success. 

The position is located at 833 Chestnut Street, Philadelphia, PA 19107, with a hybrid in-office/work from home schedule, Monday - Friday, 9:00 AM - 5:00 PM. As an MHP employee, you will have access to the following benefits:

  • Perform an extensive array of administrative tasks including but not limited to (manage calendars, and scheduling)
  • Manage multiple requests and priorities of the C-Suite while staying calm under pressure, exercising judgment, and seeing beyond the day-to-day to anticipate changing needs
  • Manage calendars meticulously and thoughtfully, facilitating all meetings and calls, including video conferencing and team events
  • Curate meeting agendas, reports, materials and presentations
  • Attend meetings, take notes, track action items
  • Serve as the point person/liaison for the executive staff, board of directors and external parties
  • Compose internal and external communications (and marketing materials) for the Board, funders, donors, etc.
  • Process donations following established procedures
  • Manage programs, events, fundraisers, or conferences by arranging for facilities, and catering, and issuing information or invitations, coordinating speakers, and controlling event budgets
  • Manage all travel and expenses
  • Ad-hoc projects and an ability to prioritize effectively 


  • Bachelor's Degree required.
  • 3 years of experience supporting one or more C-Suite executives.
  • Significant demonstrated business writing experience.
  • Advanced proficiency with Google and Microsoft suite of products (Gmail, Google Docs, Google Calendar, Sheets, Slides), donor management software, and video platforms like Zoom and Google meet.
  • Highly-organized and a meticulous attention to detail with complex calendar management experience.
  • Strong ability to and confidence in managing up.
  • Strong interpersonal skills and ability to manage multiple projects in a fast-paced environment.
  • Expectation of discretion on dealing with confidential materials.
  • Must be able to be bonded and act as a notary or have the ability to act as a notary within 6 months of hire.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Effective project and process management skills as demonstrated from past work experience. 
  • Must possess a valid driver's license.
  • Strong skill sets in cultural competence, attention to detail, time management, autonomy, problem solving and organization.

  • Sit at a desk with ergonomically appropriate equipment for 75% of work day.
